
What is the rental fee and what does it include?
The rental fee varies on the number of guests you have and what day of the week you hold your event. The Orchard’s prices are very competitive with other venues in the Dallas Fort Worth area, please click on pricing tab for rental rates.
What’s the maximum number of guests the site can handle?
We can successfully accommodate up to 400 in our facility. We have a wall of French doors that can be opened to our covered plaza for additional seating.
Will the site be shared with another wedding group?
The Venue is yours for the day with the exception of Saturdays in April through July, September and October.
How many hours does the rental fee reserve the space? Are there any charges for overtime? When do they begin?
You will have use of the facility for 8 hours. This includes time to set up and clean up. A standard guideline is 3 hours for set up, 4 hours for ceremony and reception and 1 hour for cleanup but, the time is yours to divide however you would like. Overtime is $200.00 per hour and begins after the 8th hour. All events are to end at midnight, including time for clean up. On Saturdays with two events, the morning event is from 9:00 am – 3:00 pm and the evening event is from 4:00 pm – midnight.
Do you have an in-house caterer or list of preferred caterers?
We have a list of caterers that have proven to do a great job for their customers.
Can I choose my own caterer?
At The Orchard, we firmly believe in giving you the freedom to select all of your own vendors, if that is convenient for you. We do have a list of preferred vendors available upon request, but you are not limited to those vendors.
Are there adequate kitchen facilities?
Yes. We have a large kitchen equipped with a proofer warmer, refrigerator, commercial ice maker, and spacious countertops.
Can I bring in my own alcohol?
Yes, you can provide alcohol for your guests but all alcohol must be served by one of our TABC certified bartenders, or one of our preferred vendors.
How do I reserve The Orchard for my event?
To secure your date a 50% deposit is required, along with a signed contract. 120 days prior to your event, the remaining balance is required.
How do I schedule a site visit?
It would be a pleasure to give you a tour of our venue. Just give one of our event specialists a call and we will set up a time and date that is convenient for you. Click here to contact us.
Do you have a backup plan for rain or inclement weather?
Yes, if your wedding cannot be held in the pergola it will be moved to the covered plaza that adjoins the reception hall. The garden chairs will be set up under the covered plaza, which overlooks the endless rows of trees. You and your guests will still have The Orchard experience while staying out of the weather.
Are candles or other open flames allowed?
Candles are welcome at The Orchard but they must be in a protective glass, such as a votive. Open flames are strictly prohibited.
Do you allow smoking?
There is a strict no smoking policy inside the reception hall. There is, however, a designated smoking area outside the venue.
Cancellations
If you cancel 180 days or more prior to your reserved date, 100% of your payment will be refunded, if you cancel your event after 180 days, unfortunately, none of your payment will be refunded. On all cancellations, regardless of the reason, there is a 200.00 cancellation fee.
Can we rehearse at The Orchard?
A one hour, Thursday rehearsal time is included with your event. The time of your rehearsal will be determined based on facility availability and client preferences.
Do you have overnight accommodations?
Although they are in our future plans, at this time we do not have overnight accommodations on the property, but would be happy to provide you with a list of local businesses that do offer accommodations.
Are there limitations on decorations?
Just one, nothing permanent. You are welcome to decorate the reception hall to fit your needs with any decorations that can be removed, without any harm to the venue. No nails, tapes or glues that leave a sticky residue.
Is the wedding venue wheelchair accessible? How close is the parking to the venue?
Yes, we are ADA approved. Parking is very close to the venue as well, but you won’t have to worry about cars being in the background of your pictures.
Am I responsible for any of the cleaning?
All items brought in by you, your vendors, or your guests will need to be removed. All of the tables should be cleared, with only the linens remaining. The kitchen and bar should be free of food and beverages and wiped down. After all of the trash is gathered, the trash bags should be placed in the dumpster provided on the property.
What is the earliest I can come in if I have purchased the FULL DAY option ( 10am -12am) on Saturday during peak months?
With the purchase of additional hours the earliest you or your vendors may arrive is 8am.
Can I come in earlier and decorate if I am having my ceremony at another location without purchasing additional hours?
All hours must be consecutive. When you or your vendors arrive your 8 hours will begin, if you feel you need more time, additional hours may be purchased at $200.00 per hour.
Can I drop items off on Thursday for my wedding on Friday?
No, unfortunately The Orchard holds meetings before events begin and we cannot be held responsible for items left in the venue. All items are to arrive when you or your vendors arrive and are to be taken off the property when your event comes to an end.
Can we cook onsite?
No, we do not allow onsite cooking. All food needs to arrive fully cooked and ready to serve.
Most of my wedding party will not be able to attend a rehearsal on Thursday, can we come in and rehearse the day before the wedding?
Yes, you may come in and rehearse the day before your wedding but it must be BEFORE the bride arrives for her event that day . Please note the building will not be accessible.
How soon will I know when the bride is arriving the day before my wedding so I can schedule my rehearsal?
Arrival times are due back to The Orchard at 3 weeks prior. Please contact the Orchard office at that time and we will let you know when you can schedule it.
Can I use my one hour to rehearse on my wedding day?
Yes, you are more than welcome to come in on your wedding day to rehearse. Please note the building will not be accessible until your documented arrival time.
Can we end our event at midnight and cleanup till 1am?
No, all events are to end at midnight including clean up.
